Element Flies ("we," "us," or "our") operates the elementflies.com website and ordering platform. This Privacy Policy explains how we collect, use, disclose, and safeguard information for retail shoppers, wholesale customers, and dropship API partners.
Information We Collect
From all customers:
- Name, email address, and phone number
- Shipping and billing addresses
- Order history, cart activity, and shipment tracking
- Account credentials (email and a hashed password) when an account is created
- Optional back-in-stock notification subscriptions
From wholesale applicants and accounts (additional):
- Company name, business address, and website
- Employer Identification Number (EIN)
- Sales tax license documentation, where provided
- Proof of insurance documentation
From dropship API partners (additional):
- End-customer shipping details submitted with each dropship order
- API request metadata (timestamps, key prefix, rate-limit and error events) for security and audit
Payment information: Card numbers and full payment details are collected and stored by our PCI-compliant payment processor — not by Element Flies. We retain only a processor customer reference, the last four digits, brand, and expiration of saved cards as needed to display saved payment methods and process orders.
How We Use Your Information
- Process, charge, and fulfill retail, wholesale, and dropship orders
- Verify business eligibility for wholesale accounts
- Calculate shipping rates and applicable taxes
- Send transactional email — order confirmations, shipping updates, payment receipts, password resets, and back-in-stock alerts
- Authenticate users, protect accounts, and audit dropship API activity
- Improve our website, catalog, and ordering platform
Service Providers
We rely on a small set of trusted service providers to operate the platform. Each receives only the information necessary to perform its function and is bound by its own privacy and security commitments. Categories include:
- Cloud database and hosting — stores your account, catalog, and order data.
- PCI-compliant payment processor — handles card data, saved payment methods, charges, and refunds. Element Flies does not see or store full card numbers.
- Shipping rate and label provider — generates live carrier rate quotes, prints labels, and returns tracking. Shipping addresses are shared with this provider and the chosen carrier.
- Transactional email delivery — sends order, account, and password-reset messages.

Data Storage & Security
Your data is stored on secure, cloud-hosted infrastructure. Passwords are hashed and never stored in plain text. Dropship API keys are stored only as one-way hashes — the full key is shown to you exactly once at generation and cannot be retrieved by us afterward. EINs are masked in the user interface and visible in full only to administrators. All data in transit is protected with industry-standard encryption (TLS).
Information Sharing
We do not sell, trade, or rent your personal information to third parties. We may share information only in the following circumstances:
- With the service providers listed above, strictly to operate the platform
- When required by law, regulation, subpoena, or other legal process
- To protect the rights, property, or safety of Element Flies, our users, or the public
- In connection with a merger, acquisition, or sale of assets, subject to the terms of this Policy
Cookies & Tracking
Our website uses cookies for authentication and session management. These are essential cookies required for the platform to function and cannot be disabled. We do not use third-party advertising or cross-site tracking cookies.
Your Rights
You may request access to, correction of, or deletion of your personal information at any time by contacting us. If you wish to close your account, please email us and we will remove your data within 30 business days, subject to records we are required to retain for tax, accounting, fraud-prevention, or legal-compliance purposes (for example, completed order and payment records).
Children
Element Flies is intended for adult retail and business customers. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it.
